How to ask a seller about his or her preferred communication method

Asking a seller about his or her preferred communication method early in the conversation helps you tailor your follow-up and build better rapport. Some sellers prefer texts, others calls, and some may even prefer email for documentation.

Why it matters

Understanding a seller's communication preference is a small detail that makes a big difference in how he or she perceives you. It shows respect for his or her time and convenience, which builds trust and rapport. It also increases the likelihood that he or she will actually see and respond to your messages.

If you bombard a text-preferring seller with calls, or email a seller who rarely checks his or her inbox, you risk being ignored or, worse, annoying him or her. Tailoring your approach makes your follow-up more efficient and effective.

When to ask

The ideal time to ask is early in your first real conversation, once you have established a bit of rapport. After you have introduced yourself and briefly explained why you are calling, you can weave in the question naturally. For example, after discussing his or her property briefly, you might say, "Just curious, what is usually the best way to reach you if I have a quick question — a text, a call, or email?"

If the initial contact was via text from Speed to Seller, you can also ask this question in an early text exchange before moving to a call. It sets expectations and shows you are considerate.

How to phrase the question

Keep the question simple, open-ended, and non-demanding. Avoid making it sound like you are trying to find the easiest way for yourself. Frame it around his or her convenience. For instance, "What communication method works best for you?", or "Would you prefer I call, text, or email for updates?"

Give him or her options to make it easy. If he or she specifies a time window for calls, make a note of it. The goal is to get him or her to tell you what is easiest for him or her, so you can adapt.

Adapting your process

Once you know his or her preference, make sure to document it in your CRM or lead management system. This ensures that anyone else on your team, or even yourself in a few weeks, remembers how to best reach him or her.

Adjust your follow-up cadences accordingly. If he or she prefers texts, focus on concise, value-driven texts. If he or she prefers calls, schedule them at his or her preferred times. Consistency with his or her preference reinforces your professionalism.

Respecting his or her preference

This is the most critical part. Once a seller tells you his or her preference, stick to it. If he or she says "only text me," do not call unless it is an urgent matter that absolutely cannot wait for a text response.

Overriding his or her stated preference can quickly erode trust and make him or her less likely to engage with you in the future. Even if it is not your preferred method, remember that you are working on his or her timeline and his or her terms to get the deal done.

Questions people ask

Why would a seller care how I contact him or her?

Sellers often have busy schedules, personal preferences, or want to keep their selling process private. Respecting his or her preferred method shows you value his or her time and boundaries, building trust.

What if he or she says no calls, only texts?

Then text him or her. Document this preference in your system and ensure all future communications adhere to it. Only call if there is an urgent, time-sensitive matter that absolutely requires a phone conversation, and consider a text heads-up first.

Should I ask this on the first text reply?

You can, especially if you plan to move to a call soon. A simple "What's the best way to chat quickly about your property? Text or a quick call?" works. It gives him or her control and sets expectations for the next step.
