Morning prep: reviewing and prioritizing

Start your day by reviewing all new motivated seller leads that came in overnight or since your last check. If you are buying replies, this means checking your marketplace or CRM feed. Quick scan for critical information: property address, owner name, initial motivation or property condition details.

Prioritize your 'hot' leads first. These are sellers who indicated high motivation or urgency in their initial reply. Flag these for immediate outreach. Others can be categorized as 'warm' or 'cold' for subsequent action. Do not get bogged down in deep analysis yet; this is a rapid triage.

Initial outreach: call and text strategy

For your prioritized leads, immediate contact is key. The first hour of your day should be dedicated to making initial calls to these new, hot sellers. Have your opening script ready, focusing on validating their text reply and asking about their situation.

If you cannot reach them by phone, send a follow-up text. This text should reference your call attempt and reiterate your interest in their property. Remember, you want to open a conversation, not just leave a message.

Data entry and next steps scheduling

As you make contact or attempt to, immediately log all interactions in your CRM or tracking system. Include the date, time, outcome of the call (e.g., 'no answer,' 'left voicemail,' 'spoke to seller - needs to discuss with spouse'), and any notes from the conversation.

Crucially, schedule the very next follow-up step. If you spoke to a seller and he or she needs to think about it, schedule a call for two or three days later. If you left a voicemail, schedule a follow-up text or call for the next day. Consistency is built on these scheduled next steps.

Managing replies and inbound during the day

Keep an eye on your phone and email throughout the day for replies from the new leads you just contacted. These sellers might text back while you are working on other tasks. Be prepared to pause and respond promptly.

Quick replies show professionalism and keep the momentum going. If a seller texts back with a question, answer it. If he or she asks for a call, try to call them back immediately, or schedule it for the very next available slot.

End-of-day review and preparation

Before wrapping up your day, take 15-20 minutes to review your progress. What new leads did you contact? What was the outcome? Are all notes updated and next steps scheduled for tomorrow?

This review ensures nothing falls through the cracks and you are prepared for the next day. It also helps you assess if your prioritization and outreach methods are effective. Adjust as needed to maintain a smooth and efficient process for your new leads.

Questions people ask

How quickly should I contact a new lead?

As quickly as possible. Ideally, within minutes or at most a few hours of receiving the lead. The faster you contact them, the higher your chances of connecting while their motivation is still fresh.

What if I get a lot of new leads in one day?

Prioritize the hottest leads first for immediate calls. For the others, ensure you log them and schedule initial outreach for later in the day, or early the next day, based on their urgency.

Should I only call, or also text new leads?

Both. Start with a call, and if no answer, follow up with a text. Many motivated sellers prefer texting, and it provides a written record of your outreach. You are maximizing your chances of a connection.

What if a lead isn't 'hot' enough to call right away?

Even if not 'hot,' aim for initial contact within 24 hours. A quick text or email acknowledging their reply and asking for a good time to talk can keep them engaged while you focus on higher-priority leads.
