How to follow up when a seller ghosts you after a walkthrough

It is frustrating when a seller goes silent after you have invested time in a property walkthrough. This silence does not always mean the deal is dead, but it does require a specific, consistent follow-up approach.

Recognizing the 'ghost': what happened and why?

A seller going silent after a walkthrough can mean many things: he or she got another offer, had second thoughts, or simply needs more time. Do not assume the worst immediately. Your job is to uncover his or her reason without being accusatory.

This silence is a data point. It tells you something changed or was unresolved for him or her. It is not personal. Your follow-up strategy needs to be designed to re-establish communication and understand the new situation.

Immediate response: a non-pushy check-in

Within 24-48 hours of the last communication, send a brief, non-demanding message. A simple text or email works well: 'Hope you are doing well. Just checking in after the walkthrough. Any thoughts or questions on your end?' This keeps the door open without applying pressure.

Avoid asking directly if he or she received another offer or if he or she is no longer interested. Focus on his or her needs and open communication. You want him or her to feel comfortable replying, whatever the news.

The cadence: consistent but not overwhelming

If there is no reply to your initial check-in, implement a structured, spaced-out follow-up cadence. This might look like a text after 3 days, an email after a week, and a phone call after two weeks. Vary your communication channels.

The goal is to stay top-of-mind without becoming annoying. A slow, steady drip of communication shows you are serious and patient, respecting his or her space while still being available. Update your CRM with every touchpoint.

The message: offering value, not just asking for a sale

Each follow-up message should offer value or a gentle reminder of how you can help. Instead of 'Ready to sell yet?', try 'Thinking about how we could address [specific seller concern mentioned during walkthrough]. Just wanted to share that we are still ready when you are.'

You might also reiterate a key benefit of your offer, such as a quick, as-is close. Remind him or her of the solution you provide to his or her problem. Keep it brief and focused on his or her situation.

When to pivot or disengage from a silent seller

After a consistent follow-up cadence over several weeks (say, 4-6 weeks with no response), it is usually time to deprioritize the lead. Move him or her to a longer-term nurture sequence in your CRM, or flag him or her for re-engagement in a few months. Your time is valuable, and you need to prioritize active leads.

Sometimes, a silent seller will re-emerge months later when his or her situation changes. By maintaining a polite, non-pushy approach, you leave the door open for that possibility. Do not burn bridges; simply reallocate your immediate focus.

Questions people ask

Did I do something wrong to make him or her ghost?

Probably not. A seller's silence often has to do with his or her own changing circumstances or feelings, not necessarily anything you said or did. Do not take it personally.

Should I keep texting if he or she does not reply?

Yes, but space out your messages and vary the channels. A consistent, patient cadence is more effective than daily texts, which can feel pushy.

How long should I wait before I stop following up?

After a structured cadence of 4-6 weeks with no response, it is generally wise to move the lead to a longer-term nurture. You can always re-engage him or her later.
