How to prepare your lead follow-up system for a planned absence

Preparing your lead follow-up system for a planned absence is crucial to ensure no motivated seller leads fall through the cracks. A well-organized system allows you to step away without losing momentum or potential deals.

Why preparation is key for any absence

Every motivated seller lead represents a potential deal, and delays can mean lost opportunities. A planned absence, whether it's for a few days or a couple of weeks, needs a solid strategy to keep your lead pipeline moving. Without preparation, you risk leads going cold or sellers reaching out to competitors.

The goal is to minimize disruption. You want to ensure that sellers who reply to your texts or who are in your follow-up cadence still feel attended to, even if you are not personally available.

Prioritize and clear your hot leads before you go

Before your absence, identify all your 'hot' leads – those on the verge of making a decision or who require immediate attention. Make a concerted effort to push these deals forward. Can you get a contract signed? Schedule a walk-through? Get his or her questions answered?

If a hot lead cannot be closed, communicate your upcoming absence directly to the seller. Explain that you will be unavailable but will follow up immediately upon your return. This manages his or her expectations and shows professionalism.

Set up automated responses and communication

If you use a text messaging platform, set up an automatic 'out of office' reply for any new incoming texts. This message should briefly state your absence and when you'll return, and perhaps include a contact for urgent matters if you have someone covering. For example, 'Thanks for your message. I'm currently out of office until [Date] and will reply then. For urgent matters, please reply 'URGENT'.'

Similarly, if sellers respond via email, set up an automatic email responder. This ensures that every incoming communication receives an acknowledgment, preventing sellers from feeling ignored.

Delegate or pause new lead intake

If you have a team, delegate your lead follow-up responsibilities to a trusted associate. Provide him or her with detailed notes, access to your CRM, and clear instructions on how to handle different lead statuses. Ensure he or she understands your process for initial contact, qualification, and appointment setting.

If you are a solo investor, consider pausing or reducing your new lead intake during your absence. This prevents a backlog of fresh leads that you won't be able to work effectively upon your return. It's better to pause and return to a manageable queue than to drown in missed opportunities.

Create a clear hand-off and catch-up plan

If you're delegating, create a simple document outlining who handles what, during which hours, and how to escalate issues. Include a list of your most active leads and his or her current status. This ensures a smooth transition.

For your return, block out specific time to review all communications received during your absence. Prioritize replies by urgency and lead temperature. Don't try to jump back into normal operations immediately; dedicate time to catching up so you don't miss anything. You can learn more about working leads at /how-to-work-your-leads.

Update your CRM with absence notes

Before you leave, make sure your CRM notes are up to date for every active lead. Include the last conversation, next steps, and any specific nuances for that seller. This is crucial for anyone covering for you, or for yourself when you return.

Consider adding a specific tag or status in your CRM like 'On Hold - Investor Absence' for leads that won't be actively worked during your time away. This helps you quickly filter and prioritize them when you get back.

Questions people ask

Should I tell sellers I'm going to be away?

For hot leads or those you're actively negotiating with, yes, it's professional to inform him or her. For cold leads or new incoming replies, an automated 'out of office' message is sufficient.

What if a hot lead comes in while I'm gone?

If you have a team, he or she can handle it following your protocols. If solo, your automated message should manage expectations. Upon return, prioritize these leads immediately.

How long can I be away without losing momentum?

It depends on your system and lead flow. With solid preparation and automation, you can sustain momentum for several weeks. Without it, even a few days can lead to missed opportunities.
